This Privacy Policy describes how Smart Stock ("we", "us", "our") collects, uses, stores, and protects your information when you use our Services — including the Smart Stock web application, the Smart Stock marketing website (smartstock.pk), and the Smart Stock mobile application (collectively, the "Services"). By using our Services, you agree to the practices described in this Policy.
When you register for Smart Stock or use our Services, we collect information you provide directly, including your business name, email address, phone number, and business details such as your industry type and category. We also collect account credentials for staff users you add to your account, including names, email addresses, and usernames. Passwords are stored in an encrypted, irreversible format and are never stored or transmitted in plain text.
In the course of using Smart Stock, we store the business data you enter into the system — including customers, vendors, products, purchase orders, sales transactions, expenses, and related financial records. This data belongs to you and is held on your behalf as part of the service we provide.
When you visit smartstock.pk (our marketing website), we collect anonymised usage data through Google Analytics, including pages visited, session duration, and device and browser type. This data is collected in aggregate and is not linked to your Smart Stock account. Google Analytics is not active within the Smart Stock web application or mobile application.
We use the information we collect solely to provide, maintain, and improve the Smart Stock Services. This includes processing your transactions, managing your account, sending system notifications and one-time passwords (OTPs) for authentication, and responding to support requests. We do not use your business data for any purpose beyond delivering the service you have subscribed to.
Your data is stored on secure servers. To protect against data loss, we maintain automated backups of our database on a rolling basis — both on our server infrastructure and on Google Drive via the Google Drive API. Only the most recent five backups are retained; older backups are automatically purged. These backup files are stored securely and are not accessible to tenants. Access to backup data is not provided upon request.
We use industry-standard measures to protect your data in transit (HTTPS/TLS) and at rest. No method of transmission or storage is completely secure, and while we take reasonable precautions, we cannot guarantee absolute security.
We do not sell, rent, or trade your personal or business data to third parties. In the ordinary course of providing the Services, data may be processed by the following third-party service providers: Google Drive for automated database backups, our email service provider for sending system notifications and OTP emails, and Google Analytics for anonymised visitor analytics on smartstock.pk only. These providers process data solely as instructed by us and in accordance with their own privacy policies. We do not share your data for advertising or marketing purposes.
Smart Stock is a multi-tenant platform. Each business account operates in complete isolation — your data is strictly separated from all other businesses on the platform. No account can access, view, or interact with another account's data under any circumstances. Administrative access to the platform exists solely for the purposes of technical support and platform maintenance.
We regularly release updates to the Smart Stock application to introduce new features, improve performance, and address security issues. These updates are applied automatically on our servers — you always have access to the latest version without any action on your part. We do not commit to a fixed update schedule, but updates are issued frequently as the platform evolves. For significant changes that affect how you use the platform, we will notify account holders by email in advance. Continued use of the Services following any update constitutes your acceptance of the updated platform.
Each Smart Stock subscription permits a maximum of three (3) branches under a single account. Operating more than three branches requires an additional subscription.
Our subscription pricing is not fixed for the lifetime of your account and may be revised periodically — for example, in response to increases in hosting and infrastructure costs. We commit to revising pricing no more than once per calendar year. We will provide at least thirty (30) days' advance notice of any pricing change via email. If you do not accept the revised pricing, you may cancel your subscription before the change takes effect. Continued use of the Services after the effective date constitutes acceptance of the revised pricing.
We retain your data for as long as your Smart Stock account remains active. Following account cancellation or termination, your data is retained for a period of fifteen (15) days, during which you may contact us to request reactivation. After this fifteen-day period, all your data — including business records, user accounts, and account settings — is permanently and irreversibly deleted from our systems. Residual copies may persist briefly in automated backups, which are purged on the rolling five-backup cycle described above.
During your active subscription, you may export your data in the formats available within the Smart Stock application, such as PDF reports and CSV exports generated through the platform. Upon account termination, Smart Stock does not provide raw database exports, schema-level data extracts, or data in any other format, and no data retrieval requests will be entertained after the account termination date. This policy exists to protect the integrity and security of our platform and all businesses operating within it. We strongly encourage you to export any records you require before cancelling your account.
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account, including actions taken by staff members you grant access to. Smart Stock bears no liability for data loss, misuse, or unauthorised access resulting from credentials being shared or compromised by you or your staff. You agree to notify us promptly if you suspect any unauthorised use of your account.
Smart Stock is intended for lawful business use only. You agree not to use the Services to create fraudulent records, process illegal transactions, or engage in any activity that violates applicable law. We reserve the right to suspend or terminate any account found to be in violation of this policy without prior notice and without refund of any subscription fees paid.
We aim to maintain consistent availability of the Smart Stock Services; however, we do not guarantee uninterrupted or error-free operation. Scheduled maintenance or unforeseen technical issues may result in temporary unavailability. We will make reasonable efforts to minimise disruption and to communicate planned downtime where possible. Smart Stock is not liable for any business losses or damages resulting from service unavailability, whether partial or complete.
To the fullest extent permitted by applicable law, Smart Stock and its operators shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of, or inability to use, the Services — including but not limited to loss of revenue, loss of data, or business interruption. In any event, our total aggregate liability to you shall not exceed the amount you paid for the Services in the one (1) calendar month immediately preceding the event giving rise to the claim.
Accounts with outstanding subscription payments may be suspended after a reasonable grace period. During suspension, your data remains intact and the fifteen-day retention period described above does not commence until formal account termination. Full access to the Services is restored upon settlement of any outstanding amounts.
You have the right to access, correct, or request deletion of your personal data at any time by contacting us at the details provided below. Requests for full data deletion will result in account termination and are subject to the data retention policy described in this document.
This Privacy Policy and any disputes arising from your use of the Smart Stock Services shall be governed by and construed in accordance with the laws of Pakistan. Any disputes shall be subject to the exclusive jurisdiction of the courts of Pakistan.
We may update this Privacy Policy from time to time to reflect changes in our practices, service offerings, or legal requirements. We will notify you of significant changes via email or through a notice within the application. Your continued use of the Services following such notification constitutes your acceptance of the updated Policy.
